Customer communication
How to use AI for customer replies without sounding fake
AI is most useful here when it cleans up what you already know, not when it invents a company voice or guesses at policies.
Give it the original message
Paste the customer’s actual message so the reply answers what they asked instead of producing a generic template.
Separate facts from tone
List the facts the AI may use, then describe the tone separately. This makes it less likely to manufacture a price, schedule, warranty, or promise.
Ask for one next step
Most customer replies work better when they end with one easy action: call, send photos, confirm an appointment window, or answer one question.
Review sensitive replies yourself
Complaints, refunds, legal threats, safety issues, and anything involving money deserve a human review before sending.
